What Is Microsoft Access?

Microsoft Access Office App 2007 provides vast new abilities to users that make it easier than ever to create tables, add data, and reorganize tables, reports, and more. Whether it is something as simple as adding bold to the data in a cell or attaching a photo to a database, or something more complicated like creating multi-value fields, Access 2007 provides all the tools necessary to store and analyze your data quickly, easily, and efficiently.

New user interface, including the RibbonAccess gets a major face lift that makes it far easier and more intuitive to use. The well-known Ribbon found on all Office programs now appears for the first time in the 2007 edition. Further, the overall Office Fluent design limits commands to only those relevant for a particular task, saving the user time.

Simpler table creation and data entryWith Access 2007, the program will detect whatever type of data you are entering (dates, numbers, or text, for example) and will continue to add fields based off of that data. You can now copy/paste tables from Excel into Access and the fields will continue to automatically set up for the right types of data.

Create tables and more with a clickThat isn’t the only way Access 2007 improves on table creation. You also have new Quick Create commands in the Ribbon. In the Create part of the Ribbon, you can click on different forms that will come with controls and graphics already ready for use.

New views provide new toolsAccess provides several new viewing options that make it easier to develop, report, and organize your data. These include:

  • Layout view simplifies reports: Customize forms and reports more easily and quickly with the Layout view that lets you make changes to size and alignment, among other things, without switching between live data and Design view.

  • Report view filters reports: Report view offers so much more than Print Preview. Now, you can filter data so that you only print the data you need, all by simply right-clicking and making your filtering choices.

  • Navigation Pane view: Get an overall, comprehensive view of tables, reports, forms, and queries with the Navigation Pane. From there, you can reorganize and regroup various objects so that all related reports are together with the table they reference.

See how data affects a report as it is inputtedAlong the same lines as the views above, you can now see how data appears in a report while you are putting it into the database. This saves lots of time, as you can then change report layouts instantly with the report designer, instead of having to finish the data entry and create the whole report to see how it will look.

Easier date entry with Date PickerA small improvement, but a useful one, Access 2007 now includes a pop-up calendar to quickly choose dates. You can turn it off or on depending on which way feels more comfortable for you.

Rich text supportSometimes, data needs to be more than simple text. Access now lets you provide more flexibility and emphasis by incorporating rich text options with your data entry. Now, you can bold, italicize, or underline anything you write into the program.

Read data more easily with alternating row colorAnother useful new visual feature is the ability to easily alternative background row colors so that data stands out more. This was possible in earlier editions, but only with code. Now, it is just the click of the Alternating Row Color button in the Ribbon.

Save attachments with compressionAccess 2007 lets you save a wide variety of files to your database, including documents, spreadsheets, photos and other images. If the file isn’t already compressed, Access will compress it so it doesn’t bloat the database file size.

Powerful filters to sort dataAccess makes it easy to sort by various data types, such as dates, text, and numbers.

Multi-value fields includedIn business, data isn’t always simple. A field may require more than one name, say, if multiple people are working on a project. Access 2007 now allows you to include complex data in a single cell. You can put more than one person in that cell so that all names are accounted for on the project.

Import data from email—Much of the data we receive every day comes through email, which is why Microsoft has included a new ability to easily transfer Outlook data into Access. Contacts can now instantly move from Outlook to Access to keep all your records up to date. Alternatively, those contacts can also be instantly transferred to Outlook.
